Costs and funding
What participation costs, what is included, and how delegations fund it.
Per country represented : $225
Per delegate: $225
Per faculty advisor : $225
Per guest : $55 per day
A delegation of six therefore pays CAD 1,575 in total.
A delegation of eleven pays CAD 2,700.
Included: access to ICAO Headquarters for the full week, all committee and plenary sessions, simultaneous interpretation, the delegate booklet and all preparatory documentation, lunches during the simulation, coffee and the during t the day, the opening luncheon with Member State representatives, the receptions, the career fair, and the closing ceremony.
Not included: travel to Montreal, accommodation, meals outside the program, and personal expenses.
Payment
A deposit confirms your places. The balance is due before the event.
The deposit is non-refundable. It is what allows us to reserve capacity at ICAO, and the number of places is fixed — the 2026 edition was sold out.
The deposit includes a one-time fee per delegation and 10% of the fees payable by participants
If you require an invitation letter for a visa, it is issued after the deposit is received.
Delegation Support Program
A CAD 5,000 fund is set aside each year for delegations for which cost is a genuine obstacle, up to CAD 1,000 per delegation.
Funds are limited and allocated on need — apply early. Applications are made at registration, before the deadline in January 2027

Many delegations are funded in whole or in part by their faculty, especially where the week counts toward a course. Your faculty advisor is usually the person to ask first.Your embassy or mission — Some States support their nationals’ participation in international events. It is worth a letter.

Student associations
Whatever the discipline, program associations often have an activities budget, and a delegation to a UN organization is exactly what it is meant for.
Institutional mobility grants
Most universities have a fund for student travel to academic events. Deadlines are typically several months ahead — this is the one to look into first.
Compagnies in the sector
National carriers, airports, manufacturers, air navigation service providers: many have a university relations budget, and the industry recruits from exactly the programs delegations come from. A letter to their public affairs or human resources office is the right way in
